Zoom Rooms at Penn State are licensed conference room setups designed to make collaborative meetings as simple as possible. These rooms provide enhanced audio and video options for physical spaces, ensuring seamless communication during virtual meetings.  

The original Zoom contract terms have changed, and Penn State has exhausted the current pool of Zoom Room licenses. To allow units to create additional Zoom Rooms, a chargeback process has been implemented. As of today, we are not billing back for the included licenses that were provided as part of the contract, but only doing chargebacks for those additional licenses that Penn State is getting billed for. We will reassess the situation should the terms of our future Zoom contracts change.

Licenses requests will be filled within 2 weeks, however, we encourage units to submit their requests well in advance of the Zoom Room setup date. Zoom Room license charges will be a one-time, prorated charge expiring on December 31, 2026. The exact cost will be determined upon the date of the Zoom Room activation. These licenses will be purchased in groups. If you need a new Zoom Room license for FY2024 prior to July 1 2024 the request must be submitted by Noon on April 26, 2024, using the Zoom Room Request Form.  Due to purchasing deadlines and other end-of-year fiscal processes requests for licenses submitted after April 26th, 2024 may not be available until July 1, 2024.    

PLEASE NOTE: We are still asking the community to consider Teams Room Pro when possible, especially for non-academic spaces.
